New Activity Levels for Sales Rooms

Activity levels gives your sales team visibility into which rooms are hot, engaged, stalled, or unopened to prioritize follow-ups and take action exactly when needed.

When your sales team handles too many deals, identifying which ones are gaining traction and which need immediate attention can be challenging. The new activity level on sales rooms solves this problem by automatically categorizing rooms based on prospect engagement.

What are Activity Levels?

Activity levels give your sales reps immediate visibility into which deals are hot, engaged, stalled, or unopened. These insights allow the team to prioritize follow-ups and take action exactly when needed - without manually tracking engagement across multiple deals in HubSpot.

Customizing activity levels for your sales rooms

You can configure activity levels to match your specific sales cycle and engagement expectations by hovering over the activity level indicator in the Activity tab of an existing room and clicking on the “Settings ⚙️” gear.

Hot 🔥

  • Default: Opened (the room) more than 5 times in the last 7 days
  • Perfect for identifying highly engaged prospects ready for the next step

Engaged ↗️

  • Default: Opened at least once in the last 7 days
  • Signals active interest and evaluation

Stalled ↘️

  • Default: Unopened in the last 7 days
  • Indicates deals that need re-engagement

Unopened ⛔️

  • Not opened yet
  • Shows which prospects haven't yet viewed your shared room

Three ways to track deal momentum

1. Through Slack notifications

You can activate real-time Slack alerts when a deal's activity level changes, prompting your team to take specific actions. For example:

  • When a room becomes "hot" → time to accelerate the deal
  • When a room changes to “engaged” after being “stalled” → opportunity to reconnect
  • When a room becomes “stalled” → time to send a follow-up nudge

2. Inside HubSpot

The Arrows room app card in HubSpot highlights the activity score directly on the card, giving reps immediate visibility on each deal.

3. Within Arrows

On your Arrows rooms dashboard, each room is now labeled with its current activity level so you and your team can quickly filter them by:

  • Room owner
  • Deal stage
  • Template type
  • Activity level

This makes it easier for the whole team to focus on the deals that matter most right now.

Closing the engagement loop

Combined with AI-powered suggestions and one click follow-ups, activity levels are a powerful tool to help your sales team take immediate action on open deals. Here's an example of how the complete workflow comes together:

  1. Room activity level changes to "Hot".
  2. The sales rep receives a real-time Slack notification alerting them.
  3. With one click, the sales rep opens the room to identify exactly which stakeholders are engaging and what specific content they're focusing on.
  4. The sales rep sends a quick follow-up email to the engaged buyers highlighting new resources added to the room—perfectly timed while the prospect is actively engaged.

This closed loop ensures your team is always responding with the right content at the exact moment a prospect is most engaged.

Getting started

Activity levels are available now for all Arrows sales rooms customers. From any HubSpot deal with an open sales room, simply:

  1. Click on the activity level call out or on “Open Room” on the Arrows sales room app card (here's a step-by-step on how to set the card up in case you haven't already)
  2. Navigate to the "Activity" tab within the room

To enable Slack notifications for activity level changes:

  1. Go to ‘Settings’ in Arrows
  2. Click on ‘Slack notifications’
  3. Click on ‘Edit my notifications’ on ‘Room notifications’
  4. Turn on "Activity level changed"

Activity levels builds upon Arrows' existing activity tracking. Now you can instantly recognize which deals deserve your immediate attention without manually analyzing engagement data.

By focusing the energy on the right deals at the right time, your team will close more deals faster while ensuring no opportunity falls through the cracks.
