A playbook your reps never have to open
Write down how your best rep sells, in plain words. Arrows runs it on every deal, at the moment it matters: the brief before the call, the follow-up after it, the nudge when a deal goes quiet. Nobody has to remember. Nobody has to prompt.
Your playbook
Every weekday at 6am, run the
Pre-call brief for every meeting on the rep’s calendar. When a call ends, draft the
Follow-up in Gmail and update the deal in
HubSpot. If a deal goes quiet for 5 days, send a
Deal nudge with something useful about their business. When the CFO joins, add the business case to the
Sales room and tell the rep in
Slack.

Waiting for the next moment on a deal…
Every team has a playbook. Almost nobody runs it.
You wrote it before kickoff. Reps read it once, maybe. Then every deal gets worked the way that rep happens to work, and your best moves stay with the few people who already know them.
Stuck in a PDF nobody opens
Built for kickoff, out of date by the next quarter.
Locked in your best rep’s head
The moves that win deals never get written down. New reps learn them slowly, or never.
Scattered across private AI chats
Every rep prompts their own way. Nobody can see what works, and it all breaks the week they get busy.
Trapped in a workflow builder
Boxes and arrows only ops can edit. It covers the cases someone thought of, and nothing else.
We study every deal you’ve won and lost
Arrows reads every closed deal, tags what your reps did on each one and compares the winners with the losers. The moves that separate them become plays, and your Agent Architect walks your sales leader through each one before it goes in the playbook.

Write it like you’d coach a new rep
No flowcharts, no if-this-then-that, no prompts. Say when something should happen and what good looks like. Arrows uses judgment to do it on every deal, and the work shows up finished.
In your playbook
Weekdays at 6amEvery weekday at 6am, get each rep ready for the day. Run the
Pre-call brief for every external meeting on their calendar. Lead with what changed since the last conversation and the one thing we need from this call. If a deal on today’s calendar hasn’t had a real next step in two weeks, say that first.
- Joining
- Dana Ortiz (champion), Priya Shah (CFO, first call)
- What changed
- Priya asked about seat pricing by email on Monday
- Watch for
- They’re also looking at another vendor
In your playbook
When a call recording is readyWhen a call ends, write the
Follow-up the way the rep would: short, specific and in their voice. Recap what the buyer said in their own words, confirm the next step with a date and attach anything we promised. Then update the deal in
HubSpot. If someone new joined the call, add them to the deal and find their role in
Clay.

Today’s call and next steps
Hi Dana,
Thanks for walking us through change orders today. What I heard: they sit in someone’s inbox for a week, the site never has the latest plan, and Friday is spreadsheet day.
For the technical review, does Tue 10am or Wed 2pm work? I’ve attached the deck you asked for.

No reply for 5 daysIf a deal goes quiet for 5 days, never send “just checking in.” Look at what’s happening in their business and send a
Deal nudge with something useful: a customer story from their industry, the answer to a question they left open, or a short video. After three quiet weeks, suggest the rep calls the champion instead, and write the talking points.

Your March clinic opening
Hi Sam,
Saw the new clinic opens in March. Lakeside, a group about your size, used their opening to roll out new intake. Here’s their two-minute story.
Worth 15 minutes next week to see if the timing works for you?

Your reps’ best deals get better. The maybe deals finally get worked.
A rep can give full attention to a handful of deals. Arrows runs the playbook on every one of them: sharper work on the deals they care about, and real follow-through on the ones that could turn into something if anyone worked them.

Our wins this quarter all had the CFO on a call before the proposal. The two that stalled did not. Can the playbook push for that?
Maya Ruiz AE
+1, but only on deals over $50K. And an intro the champion can forward is how I get the CFO on.
Sam Arrows team
Done. Your playbook now says:
Was: Before a proposal goes out, confirm the budget with the champion.
Now: Before a proposal goes out on deals over $50K, get the CFO on a call. If they haven’t joined, draft an intro the champion can forward.
Every rep gets the playbook their way
The playbook decides what happens on every deal. Each rep’s preferences shape how it shows up: their emails, their sales rooms, their briefs and their alerts.

Bring a rough draft. Leave with a playbook that runs.
Your Agent Architect builds the first version with you. A doc, a slide, a few call recordings or a ramble about how your best rep works is enough to start.
- 1
Connect your tools
Your CRM, notetaker, email and calendar, so Arrows can read every deal.

- 2
We build it and keep it sharp
Your Agent Architect writes the first version from what you send and how your best deals were worked. You sign off, and we keep tuning it as your team learns what wins.
- 3
It runs on live deals
A few reps start with their open deals. We tune the plays from what they approve, edit and skip.
Questions teams ask
We don’t have a written playbook. Can we still start?
Yes. Most teams start with a rough doc or a conversation. Your Agent Architect builds the first version from that and from how your best deals were worked.
We sell a few different ways. Is it one playbook?
You can have more than one, for example new business, renewals and expansion. Each deal runs on the playbook that fits it.
How is this different from a workflow builder?
You don’t map every branch. You describe when something matters and what good looks like, and Arrows uses judgment on each deal, the way a good rep would.
What runs on its own, and what waits for a rep?
You set it per tool: Allow, Ask first or Off. Internal work like CRM updates can run on its own. Anything a buyer would see waits for a rep to approve.
Can each rep keep their own style?
Yes. Each rep sets preferences like tone and how they write emails. The playbook decides what happens, and the rep’s preferences decide how it sounds.
