To manage a smooth onboarding process, it’s critical to keep track of where each customer stands in the pipeline and ensure workloads are balanced across your team. This report gives you a clear view of all in-flight onboarding plans by pipeline stage while showing how many plans each rep is actively managing.

Here’s how to set it up in HubSpot:

Step 1: Build the Report in HubSpot

  1. Go to Reports > Reports > Create Report.
  2. Select the Custom Report Builder.
  3. Choose Tickets as your primary data source.

Step 2: Apply Filters

To focus on in-progress onboarding plans:

  • Pipeline: Onboarding (or your relevant onboarding pipeline)

Step 3: Configure the Bar Chart

  1. Chart Type: Select Vertical Bar.
  2. X-Axis: Ticket Status (to display pipeline stages)
  3. Y-Axis: Count of Tickets
  4. Break Down By: Ticket Owner (to group tickets by rep)

What This Report Tells You

This report provides two key insights at a glance:

  1. In-Flight Status:
    • See how many onboarding plans are currently in each stage of your pipeline (e.g., Active, Waiting, Completed, etc.).
    • Identify any stages where plans may be piling up or getting stuck.
  2. Rep Workload:
    • Understand how many onboarding plans each rep is actively managing.
    • Spot workload imbalances and redistribute plans if needed to keep the team productive.
